Personal Assistant to Chief Executive Officer (Malaysia)

The Personal Assistant to AIRSCREAM Group CEO will provide high-level administrative support to the CEO, managing the day-to-day operations of the CEO's office and ensuring the CEO is fully supported in all aspects of their work.

The successful candidate will be proactive, highly organized, and able to manage multiple tasks and priorities with ease. The role requires excellent communication skills and the ability to work under pressure and to tight deadlines. The Personal Assistant will be a key member of the AIRSCREAM team, working closely with other core team members and stakeholders across the organization.

 

Job Description:

  • Provide administrative support to the CEO, managing their diary, scheduling meetings and appointments, and handling travel arrangements.
  • Act as the first point of contact for the CEO, fielding calls, emails, and correspondence and ensuring that all inquiries are dealt with promptly and efficiently.
  • Manage the CEO's correspondence, including drafting letters, emails, and reports.
  • Conduct research and prepare briefings for the CEO in advance of meetings and events.
  • Prepare and collate documents and presentations for the CEO, ensuring that all materials are accurate, professional, and delivered on time.
  • Attend meetings and events with the CEO, taking minutes and following up on action items as required.
  • Maintain an accurate and up-to-date filing system for the CEO's office, ensuring that all documents and correspondence are appropriately filed and easily accessible.
  • Liaise with internal and external stakeholders on behalf of the CEO, building and maintaining positive relationships with key contacts.
  • Undertake ad hoc tasks and projects as required to support the CEO and the wider organization.
  • Manage and arrange flights and accommodations of CEO and AIRSCREAM Team members.

        Job Requirements:

        • Bachelor's degree in Business Administration, Management, or a related field.
        • Proven experience as a Personal Assistant or Executive Assistant, ideally supporting a senior executive in a fast-paced environment.
        • Excellent organizational skills and the ability to multitask and prioritize effectively.
        • Strong written and verbal communication skills, with a high level of attention to detail.
        • Proficient in Microsoft Office and Google Suite.
        • Strong problem-solving skills and the ability to work well under pressure.
        • Ability to maintain confidentiality and handle sensitive information with discretion.
